ORO reporting, tax warehouse and excise records for POHODA
Automated daily reporting to the Customs Administration, tax-warehouse tracking and excise-duty calculation running directly on your POHODA ERP data — no manual export building.
A solution built on POHODA ERP that helps spirits and beverage businesses meet the notification duty under Act No. 307/2013 Coll. on the mandatory marking of spirits with a control band. Every business day the system reads spirits movements in the tax warehouse straight from POHODA's invoices and delivery notes, assembles and validates the XML notification for the Czech Customs Administration, and prepares it for upload into the ORO web klient portal. Goods held under the tax-warehouse regime are tracked directly in POHODA's stock hierarchy, excise duty is calculated automatically every night, and physical control-band marking is recorded bottle by bottle on a touchscreen kiosk.
ORO reporting is still built by hand from POHODA exports
Companies selling spirits bearing the control band must report tax-warehouse movements to the Customs Administration every business day. In practice that usually means a manual export from POHODA, recalculating pure-alcohol volumes in a spreadsheet and assembling XML to the Customs Administration's schema — repeated for every business day, with real risk of error and delay.
- Manually building the ORO notification from POHODA exports takes the accounting team's time every business day
- A miscalculated pure-alcohol volume or an XML structure error can get the notification rejected
- Excise records are kept separately from ERP stock movements and easily drift out of sync
- Manual excise-duty calculation without a single method risks discrepancies during an audit
- Physical control-band marking with no per-bottle record — no proof of who released the goods and when
What the ORO & tax-warehouse solution does
Six connected capabilities running on the data you already have in POHODA — from daily Customs Administration reporting to physical bottle marking on the warehouse floor.
Automated daily ORO notification
Every business day the system reads spirits movements in the tax warehouse from POHODA for the previous business day — invoices and delivery notes alike — aggregates them and assembles the XML notification in the Customs Administration's official format (holder, distributor and applier variants). A built-in Czech working-day calendar automatically skips weekends and state holidays, including Easter.
XSD validation and a ready-to-submit file
Before handover, the XML is validated in real time against the Customs Administration's official XSD schemas, so structural errors surface before they could cause a rejection at the portal. Uploading to ORO web klient stays deliberately the last, human step — the system never submits anything by itself; it only prepares the notification and a readable audit CSV.
Tax warehouse inside POHODA's stock hierarchy
Beer, spirits and wine held under the excise-suspension regime are tracked as stock cards filed under a Daňový sklad branch in POHODA, with no parallel record in a separate system.
Excise-duty calculation
From commercial attributes entered once per item (bottle volume, alcohol strength, duty rate), the system recalculates pure-alcohol content per package and duty owed every night, using the correct statutory formula per category (beer, spirits), and clears stale figures automatically when inputs change. Attributes for a whole catalogue can be loaded and maintained via bulk Excel import.
Kiosk for control-band marking
On a touchscreen kiosk, warehouse staff scan both the product's EAN and the unique QR code on the control band as each bottle is released, creating a full per-piece record — the physical counterpart of releasing goods from the tax warehouse.
Monthly excise register
A companion job automatically populates the official monthly Excel excise register for spirits (receipts and issues) from the same POHODA data behind the daily ORO notification — no manual re-entry.
How a rollout works
We build the solution on top of your existing POHODA and the specific range of goods subject to marking, moving from data analysis to live daily operation.
Range and obligations analysis
We map which stock cards are subject to the mandatory marking of spirits and the tax-warehouse regime, which ORO notification variant your company files (holder, distributor, applier) and which commercial attributes need to be added.
POHODA integration
We connect the solution directly to invoices, delivery notes and the stock hierarchy in POHODA, set up the Daňový sklad branch and configure sign-in via company accounts (AD/LDAP).
Reporting, calculation and validation setup
We configure daily generation and XSD validation of the ORO XML, nightly excise-duty recalculation and the monthly register, and test submissions on sample data before going live.
Kiosk, training and support
We deploy the touchscreen marking kiosk on the warehouse floor, train the accounting team and warehouse staff, and stay available if legislation or the Customs Administration's schema changes.
What your company gains
Data is read once from POHODA and reused everywhere it's needed — for daily reporting, duty calculation and the monthly register.
Lower risk at submission
Data comes straight from POHODA, and the XML is validated against the Customs Administration's XSD schema before submission — structural errors and miscalculated volumes surface before they can cause a rejection.
Daily reporting without manual work
The ORO notification is generated automatically every business day; the accounting team no longer builds exports and recalculations by hand.
A per-bottle audit trail
Dual scanning at the kiosk (EAN plus control band) and the underlying XML records are kept, so you can show what was released, when and by whom.
One set of records, not two
The tax warehouse, excise-duty figures and the monthly register all come from the same POHODA data — nothing is kept separately in a spreadsheet outside the ERP.
Built on your ERP
This isn't another standalone system — it runs on the data you already have in POHODA and connects to the Customs Administration's portal and physical warehouse operations.
