Custom marketplace integration for POHODA ERP

Orders from Allegro, Alza and Kaufland land in POHODA automatically, stock and prices flow the other way into the catalogues — one connection instead of re-typing from each portal separately.

We connect your POHODA ERP to every marketplace you sell on. Incoming orders are created automatically as sales orders in POHODA — matched to stock items, with the carrier, centre and payment method for that specific marketplace. The other way, the system keeps stock and prices up to date on each marketplace, sends back the parcel number and invoice, and makes sure no order is imported twice. Through BaseLinker you also reach Amazon, eBay or Decathlon without handling each channel separately.

Every marketplace is its own portal and manual re-typing

Selling on several marketplaces means logging into the Allegro, Alza and Kaufland portals, re-typing orders into POHODA by hand and watching stock in each catalogue separately. The more channels, the more places where stock drifts from reality and a typo creeps into the price or quantity. Invoices and parcel numbers are filled into each portal by hand, and marketplace payouts are reconciled against invoices one by one.

  • Orders from each marketplace are re-typed from a portal into POHODA, risking typos in quantity and price
  • Stock is watched in each catalogue separately — an oversell happens the moment one channel lags behind
  • Prices and promotions are entered into each marketplace by hand and inconsistently
  • The parcel number and invoice have to be filled into each portal manually
  • Marketplace payouts are reconciled against individual invoices by hand
Features

What the marketplace integration does

One connection between POHODA and the marketplaces that translates every order, stock level, price and invoice between the marketplace format and your ERP — both ways, with no manual step in between.

Automatic order intake

Orders from every connected marketplace are pulled in and created as sales orders in POHODA — matched to stock items, with the carrier, centre and payment method for that specific marketplace. Nobody copies anything from a portal.

Stock and price sync

Stock levels and prices from POHODA are pushed into the marketplace catalogues on a regular cycle, so the marketplaces show availability and price based on the real stock. The risk of overselling or selling at an old price drops.

Labels, parcels and tracking

From a shipped order the parcel number and delivery status are sent back to the marketplace, and for selected channels a shipping label is generated too. The customer on the marketplace sees the goods are on the way, with no manual updating.

Invoices back to the marketplace

The issued invoice from POHODA is uploaded automatically to the marketplace order in the format the marketplace requires. No more downloading PDFs and uploading them into each portal.

Duplicate check and matching

Before an order is created it is checked against the ones already imported, so nothing is loaded twice. Unmatched items or carriers are flagged for review before they reach dispatch.

Payout reconciliation into accounting

Payouts and commissions from the marketplace are turned from the marketplace exports into a bank advice that reconciles automatically against invoices in POHODA. The marketplace stops being a blind spot in accounting.

Process

How the rollout works

We build the integration between your existing POHODA and the marketplaces you sell on — either directly through the marketplace API or through a hub such as BaseLinker. We don't replace the ERP or the e-shop.

1

Analyse the channels

We map which marketplaces you sell on, their requirements for orders, stock and invoices, and what makes sense to solve with a direct connection versus through a hub.

2

Connect POHODA and the marketplaces

We link the integration to orders, invoices and stock items in POHODA and to the interface of each marketplace or hub.

3

Match stock, prices and carriers

We set up the matching of stock items, price levels for each channel and the mapping of carriers and centres for each specific marketplace.

4

Test run and go-live

We validate the intake and write-backs on test orders and take the integration live, including duplicate and status monitoring.

What your company gains

Selling on several marketplaces stops being a multiple of manual work and becomes one automatic flow between the marketplaces and your ERP.

0

Manual order re-typing

Orders from every channel drop straight into POHODA matched to stock — no logging into portals and no typos.

Fewer oversells

Stock and prices are pushed to the marketplaces automatically, so they show availability based on the real stock and the risk of overselling drops.

A new channel with no extra chore

Adding another marketplace is a matter of configuration, not a new system or more manual work.

The marketplace is visible to accounting too

Orders, invoices and payouts from the marketplaces flow into POHODA, so marketplace trade is as traceable in accounting as the rest of the business.
